1. Purpose

This Artificial Intelligence (AI) Policy outlines Techeot Solutions’ commitment to the responsible, ethical, transparent, and secure use of Artificial Intelligence technologies. The policy ensures that all AI systems and practices comply with applicable privacy, data protection, security, and regulatory requirements while delivering value to clients and supporting internal operations.

This policy applies to both:

  • Techeot Solutions LLC, California, United States

  • Techeot Solutions LLP, Lucknow, Uttar Pradesh, India

(collectively referred to as “Techeot Solutions”).

2. Scope

This policy applies to:

  • All AI systems, tools, models, and services developed, deployed, procured, integrated, or managed by Techeot Solutions

  • All employees, consultants, contractors, freelancers, and third-party collaborators involved in AI-related activities

  • All organizational activities involving data collection, processing, training, inference, or decision support using AI

  • All stages of the AI lifecycle, including design, development, testing, deployment, monitoring, maintenance, and decommissioning

3. Objectives

Techeot Solutions aims to:

  • Ensure AI systems are secure, reliable, and resilient against unauthorized access, misuse, or cyber threats

  • Prevent the use of AI for unlawful, unethical, or malicious purposes, including unauthorized surveillance or misinformation

  • Comply with applicable data protection and privacy regulations when AI systems process personal or sensitive data

  • Maintain transparency, accountability, and human oversight across all AI-driven processes

4. Responsible AI Principles

Techeot Solutions is committed to building and using AI responsibly. Our AI practices are guided by the following principles:

4.1 Transparency and Explainability

  • AI systems are designed so that their purpose, scope, and intended outcomes are understandable to relevant stakeholders

  • Appropriate documentation is maintained to support auditability, traceability, and explainability

  • Clients are informed when AI is used as part of a project or service delivery

  • Where contractually required, prior written consent will be obtained from clients before deploying AI systems, and such consent will be documented and retained

4.2 Fairness and Non-Discrimination

  • AI systems are developed and evaluated to minimize bias and ensure equitable outcomes across diverse populations

  • Clients may raise concerns or queries regarding AI usage, which will be addressed promptly in line with contractual and legal obligations

Bias Awareness and Training

  • Team members involved in AI development and deployment receive training on identifying and mitigating bias

  • Internal awareness sessions are conducted to promote responsible AI practices

Data Review and Preprocessing

  • Training and input datasets are reviewed for potential biases related to race, gender, language, culture, or other protected attributes

  • Where feasible, techniques such as anonymization, diversification, or data rebalancing are applied

Prompt and Output Review

  • AI outputs are tested and reviewed during development and deployment

  • Systematic prompt testing is conducted to identify and mitigate biased, misleading, or inappropriate responses

4.3 Accountability

  • Each AI initiative has clearly defined ownership and accountability throughout its lifecycle

  • Oversight mechanisms are established to ensure compliance with this policy and applicable regulations

4.4 Reliability and Safety

  • AI systems undergo appropriate testing and validation to ensure reliability for their intended use

  • Systems are designed to be secure, resilient, and protected against misuse or adversarial attacks

  • Contingency measures are in place to address system failures, inaccuracies, or unintended outcomes

4.5 Human Oversight

  • Human oversight is maintained at appropriate stages of AI-assisted decision-making

  • Employees are trained to review, validate, and intervene in AI-generated outputs when required

  • AI systems are used to augment, not replace, human judgment in critical contexts

5. Compliance with Privacy, Data Protection, and Security Standards

5.1 Privacy Framework Compliance

AI systems are assessed for compliance with applicable data protection laws and frameworks, including but not limited to:

  • General Data Protection Regulation (GDPR)

  • California Consumer Privacy Act / California Privacy Rights Act (CCPA / CPRA)

  • Digital Personal Data Protection Act (DPDPA – India)

5.2 Data Protection Measures

  • Personal data processed through AI systems is subject to Techeot Solutions’ data protection and security controls

  • Data encryption, secure storage, and role-based access controls are implemented where applicable

  • Personal data is processed only for defined purposes and retained no longer than necessary

5.3 Incident Response

  • Security or privacy incidents involving AI systems are addressed through established incident response procedures

  • Incidents are logged, assessed based on severity and impact, and reported to relevant stakeholders or authorities as required by law

6. Governance and Monitoring

6.1 Audits and Assessments

  • Periodic internal reviews and assessments are conducted to evaluate compliance with this AI Policy

  • Risk-based audits may be performed based on project complexity, data sensitivity, or regulatory requirements

6.2 Training and Awareness

  • Employees involved in AI-related work receive ongoing training on responsible AI, data protection, and security practices

  • Employees are encouraged to report potential risks, concerns, or policy violations

6.3 Client-Specific Requirements

  • Techeot Solutions ensures compliance with AI-related obligations explicitly defined in client contracts or communicated by clients in writing

  • Client-specific AI restrictions or standards take precedence where contractually agreed

7. Non-Compliance and Corrective Action

Failure to comply with this policy may result in:

  • Suspension or termination of AI-related projects

  • Disciplinary action in accordance with organizational policies

  • Contractual, legal, or regulatory consequences where applicable

8. Document Control and Review

This AI Policy is maintained by Techeot Solutions’ management and compliance teams and is reviewed periodically or as required due to regulatory, technological, or operational changes.

Updates to this policy will be communicated to relevant stakeholders.
